How to digitize paper-based forms and checklists with SAP Asset Manager. The SAP Asset Manager mobile app, part of the SAP Intelligent Asset Management solution portfolio, provides online and offline access to context-rich visualizations to enable the simple and timely execution of end-to-end enterprise asset management.

Why is it important to digitize paper-based information?

From our experience of delivering numerous SAP mobile asset maintenance projects, we are aware of a few issues our customers face when moving their field workers from paper-based methods. These include:   
  1. Fields on paper forms don’t map to the standard SAP data structure
  2. Fields on the form are spread across many different screens on a standard mobile solution
  3. Advanced fields like signature, location, formulae are not supported
  4. Features like skip logic, show/hide fields, and dependent dropdowns are not supported.
This results in a hybrid setup where the core work order process is mobile enabled but the paper processes still exist in parallel. 
As well as the environmental impact of paper-based documents, businesses are also putting themselves at risk of data loss, security breaches, and spread of infection by working on paper. 
Solution
On Device Solutions has recently launched a new accelerator for SAP Asset Manager (SAM) which will enable SAP customers to digitise any paper-based forms and checklists quickly and efficiently. The accelerator works on both iOS and Android devices and utilises a dynamic form engine to gather relevant information.

How does it work?

Using ODS Dynamic Form Engine add-on, businesses using or looking to use SAP Asset Manager for mobile maintenance can create bespoke form templates. These forms are then tagged with SAP objects like work order type, task list, etc. to represent when and where the form needs to be filled.

Forms can be marked as mandatory or optional and it is even possible to set the number of times a form can be completed? 

The form engine supports all standard controls like radio-button, dropdown, text, date, time, etc., but also includes advanced controls like location, picture, barcode, audio, etc. You don’t need to be a programmer to design these forms, anyone with basic computer skills can design the forms using a drag and drop editor.

The data that is gathered on mobile is stored in a structured format in the SAP backend system for further analysis.
