Before the introduction of myForms, the company heavily relied on paper-based forms for numerous production activities, such as tracking the utilisation of materials for specific tasks. The operational team needed a modern, efficient alternative to supersede the traditional, cumbersome paper-based system. The ideal solution would seamlessly capture all necessary information, including signatures and pictures, while offering a comprehensive dashboard for visualising the work executed by operators.
After meticulously evaluating solutions offered by SAP and other SAP partners, our client set its sights on myForms, an innovative application delivered by On Device Solutions (ODS). myForm’s robust capabilities and the positive internal feedback for myJobCard – another ODS application our client had previously deployed – bolstered their confidence in integrating myForms into their operations. Goals & Objectives
Our client aimed to transition from paper-based to digital forms, enabling business users to design and manage their own digital forms. Enhancing audit compliance, boosting data quality, and deriving new operational insights also topped their priority list. With myForms, they could usher in real-time collaboration, superior data visualisation, and offline working capabilities.
Project Scope and Challenges
The project encompassed diverse aspects, including check and batch sheet creation, approval workflows, and mobile applications for data submission. Despite the challenges of ensuring smooth
functioning across various iOS device versions and managing a geographically and linguistically diverse project team within a tight 10-week timeframe, myForms by On Device Solutions and the project emerged triumphant.
ODS’s client-specific myForms demonstration during the pre-sales process met business expectations, leading to a successful pilot at one of the sites from October 2022 to February 2023. The concerted efforts of the ODS project manager, alongside our UK and India-based teams and the client’s team, contributed to the project’s success.
Our client plans a broader implementation of myForms across various sites and regions, aiming to completely digitise their paper-based forms and attain zero paper usage across production and maintenance sites. The flexibility of myForms will cater to the diverse language and content requirements of each international business unit. Furthermore, the company is exploring the myForms expansion to other fields, such as work clearance management.
